Tagged Safe does not use the website quote form to collect debit or credit card information.
We may keep records of communications made by email, telephone, WhatsApp, website enquiry, social media or other agreed communication methods.
Our website or hosting provider may process limited technical information needed to operate and protect the website, such as IP address, browser/device information, date and time of access, security logs and technical error information.
The Tagged Safe quote form is not intended to collect medical information, information about children or other sensitive personal information. Please do not provide this type of information unless it is genuinely necessary for the safe planning or delivery of the service.
Most personal information is provided directly by you when you request a quotation, contact Tagged Safe, accept a quotation, arrange a booking, provide site-access information, receive testing services, make a payment or communicate with us.
Information may also occasionally be provided by your employer or organisation, another authorised contact, a landlord/property manager/site manager, another person arranging testing on your behalf, or publicly available sources used to verify Charity & Community Rate eligibility.
We use your details to respond to your enquiry, understand the work required, assess site/access requirements, prepare a quotation and contact you if information needs clarification. The main lawful basis is taking steps at your request before entering into a contract. We may also rely on legitimate interests in operating and administering the business.
We use information to confirm appointments, plan work, attend the correct site, communicate with site contacts, carry out and record testing, produce asset/test records and certificates, manage failed items and provide customer support. The main lawful basis is performance of a contract or taking steps connected with a contract.
We may use information about permits, inductions, security procedures, access restrictions, site hazards, equipment accessibility and other practical site requirements where necessary to safely and efficiently carry out the work and protect Tagged Safe, customers and others at the site. The lawful basis may include legitimate interests and compliance with applicable legal obligations.
We use information to maintain customer, quotation, booking, job, testing, payment and follow-up records. Our legitimate interest is operating an organised and accountable testing business and maintaining accurate records of services provided.
We use relevant information to issue invoices, record payments, provide receipts, manage amounts owed and meet accounting and tax obligations. The lawful bases include performance of a contract and compliance with legal obligations.
Information may be retained or used where reasonably necessary to investigate complaints, resolve disagreements, establish what work was requested or carried out, protect legal rights, prevent misuse or fraud, and establish, exercise or defend legal claims.
Communications necessary to deal with an enquiry, quotation, booking, testing job, invoice, payment or customer-service matter are service communications and are not treated as optional marketing.
Promotional marketing is handled separately. Where consent is required for electronic marketing, Tagged Safe will ask you to actively opt in. Marketing consent is optional, separate from accepting the Terms & Conditions, not required to request a quotation or use our services, and can be withdrawn at any time.
Where the law permits business-to-business marketing without consent, Tagged Safe may rely on legitimate interests, but we will respect objections and opt-out requests.
If you request the Charity & Community Rate, we may process organisation type, registered charity number, Scout/Guide organisation details or information explaining your organisation's not-for-profit/community status. This is used only as reasonably necessary to determine eligibility for the reduced rate and maintain an appropriate record of the pricing decision.
Tagged Safe does not sell personal information. Personal information may be shared only where reasonably necessary with organisations that help us operate the business, such as website/hosting providers, business email and communication providers, secure storage/backup providers, accounting/bookkeeping services, banking/payment services, IT support, professional advisers and public authorities where disclosure is legally required.
Some technology or service providers may process information outside the United Kingdom. Where personal information is transferred internationally, Tagged Safe will take reasonable steps to ensure an appropriate legal mechanism or safeguard is in place as required by UK data-protection law.
Enquiry and quotation information will normally be retained for up to 2 years after the last meaningful contact, unless there is a reason to keep it longer.
Customer details, quotations, job records, asset/test records, certificates and related service information will normally be retained for up to 6 years after the relevant work or customer relationship, where reasonably necessary for service history, complaints, legal claims or evidence of testing.
Invoices, receipts and other accounting records will be kept for at least the period required by HM Revenue & Customs and other applicable law.
Marketing contact information will be kept while you remain subscribed or while there is another lawful reason to retain it. If you opt out, we may retain a minimal suppression record so we remember not to send further marketing.
Technical and security information will be retained only for as long as reasonably necessary for website operation, security, troubleshooting and abuse prevention.
Tagged Safe takes reasonable technical and organisational steps to protect personal information, including access-controlled business systems, appropriate device security, controlled access to customer records, backups of important business information, data minimisation and reputable business technology providers.
Depending on the circumstances and lawful basis being used, you may have rights including access, rectification, erasure, restriction, data portability, withdrawal of consent and rights relating to automated decision-making. These rights are not absolute and may depend on why information is being processed and whether there is a legal reason to keep it.
You have the right to object to the use of your personal information where we rely on legitimate interests. Whether processing must stop will depend on the circumstances and whether there are compelling legitimate grounds for continuing.
You have an absolute right to object to your personal information being used for direct marketing. If you object to direct marketing, we will stop using your personal information for that purpose.
Tagged Safe does not currently use personal information to make solely automated decisions that have legal or similarly significant effects on customers. Quotations, eligibility decisions and customer/job management remain subject to human review.
The Tagged Safe website may use strictly necessary cookies or similar technologies where required for basic website operation, security or functionality. Non-essential analytics, advertising or marketing cookies will not be used without any consent required by law. If non-essential cookies or analytics services are introduced, appropriate information and controls will be provided.
Tagged Safe provides services to organisations that may work with children, including schools, charities and Scout/Guide organisations. However, the website and quote form are intended for adults arranging testing services. We do not intentionally ask customers to provide children's personal information as part of a normal quotation or electrical equipment testing job.
Please contact Tagged Safe if your contact details or other relevant information change or if you believe information we hold is inaccurate.
